Report Automation
Step 1. To automate a report, make sure that you have selected one of the pre-made date ranges from the calendar settings. You can use a Custom Period, but only if it's a rolling date range. You can find more information about this here.
Step 2. Click on "Automation" on the right side menu
Step 3. Select how often you would like your report to be sent (Sending Frequency) and on which day the report would be sent (Delivery day), Time, Time zone, and Issue handling. You can choose whether you want to review the report before sending it or have it sent automatically without a review.
Note: If you select "I'll review before sending" in the Reviewing reports section, the report must be reviewed; otherwise, it will not be sent.
If you choose the option in the Issue handling area, "Do not send reports until issues are reviewed", the report will not be sent at the chosen time.
If you do not plan to add comments or summaries to the report and do not want to review the data before sending it, feel free to go for "Send reports without my review".
Step 4. After clicking on the Continue button, enter the report recipients' email addresses at the bottom of the automation settings for your reports and click "Automate report".
You'll find your automated report under the Automated reports category in your report list or within your space/folder, separated from the regular reports.
Automated report stages
Data Gathering stage: When the report is in the data-gathering stage, meaning that it's still gathering the data for the chosen date range, in this stage, you can still edit the report/widgets:
Review stage: When the report is in the review status, you can approve it for delivery by selecting "Review" in the report history view by clicking on "Open history". You will also receive a reminder in your email.
If you click on "Review" it will take you to the report where the widgets can still be edited. Once you are done, click "Confirm review".
Note: In case you missed adding any additional information to your report, you can revert your report to the "Review" stage by opening the report in the history view and clicking "Revert to Review" at the top right side of the report
Ready for Sending stage: Once the report is reviewed, it is ready to be sent to its recipients. Next to the report, you will see the "Ready" status to indicate this:
After the report is sent, it enters the "automation cycle" once again, starting at the data-gathering stage. You can also check your automated report history by clicking on the "Open history" button on the left side.
How are automated reports listed:
The list order of automated reports is determined by automated report creation, report editing, automation setting changes, or when the report is moved to “Review” or “Ready” status. Any of these changes will cause the report to be moved to the top of the list.
